Can an AI assistant manage your email, calendar, and files privately?
Last updated October 16, 2026
The short answer
Yes — but “privately” has to mean something specific, so here is exactly what Mosaic does. Mosaic is a desktop app, and the direction of travel is the point: when you connect Gmail, Outlook or Drive, Mosaic brings that material down to your own computer and works on it there, instead of uploading your working life to a service. Everything it learns about your work — what matters, what is waiting on you, what belongs with what — stays on your machine. Writing an answer or a suggestion needs a cloud AI model, so Mosaic sends that model what that task needs and nothing more: usually a handful of relevant passages, or the specific email or file it is working on. Never your whole mailbox, never your whole file library, never the whole picture. None of it is kept on our servers, our AI providers do not train on it, and none of it is sold. You approve every connection, and suggestions wait for your approval.
- Your cloud apps come to you, not the other way round. Connect Gmail, Outlook, Drive or OneDrive and Mosaic brings that material down to your own computer and works on it there.
- What Mosaic knows about your work stays on your machine. The picture it builds — what matters, what is waiting on you, what belongs with what — is kept on your device, not on our servers.
- Only what a task needs ever leaves, never the whole picture. Whether you asked a question or Mosaic is getting something ready for you, the cloud AI model that writes it sees only what that one task needs — usually a few passages, or the specific email or file involved — not your whole mailbox or file library.
- Nothing is kept, and nothing trains a model. None of your content is retained on Mosaic’s servers. Our AI providers hold it only for as long as the task takes, and do not train on it. It is not sold.
- Only what you connect, and suggestions wait for your approval. Mosaic works with the apps you choose to connect, and with the files and folders on your computer you choose to share. It suggests; a suggestion runs only when you approve it.
What should you check before trusting an AI assistant with your inbox?
Any AI assistant that works across your email, calendar and files should answer five questions in plain language before you connect anything. We publish our own answers below, and we suggest asking the same five of every assistant you compare, including us. If a vendor will not answer one of them directly, treat that as the answer.
| Criterion | The question to ask | Mosaic’s answer |
|---|---|---|
| Storage location | Does your material stay on your machine, or does the vendor keep a copy? | On your machine. Material from a connected cloud account is brought down to your computer and worked on there. Nothing from your content is retained on Mosaic’s servers. |
| Processing location | When the AI does its work, where does that run — and how much of your material is sent to it? | On a cloud AI provider, as with every assistant of this capability. Mosaic sends only what the task needs (usually a few relevant passages, or the specific email or file involved), by way of our servers, and keeps none of it. |
| Model training | Is your data used to train AI models? | No. Our AI providers do not train on any customer data passed to them, and we do not sell your content. |
| Access scope | Can the assistant read apps you did not ask it to? | Mosaic works with the apps you choose to connect and the files and folders on your computer you choose to share. You can disconnect any tool at any time. |
| Action control | Can it send, delete, or schedule anything without you? | Not on its own. Mosaic suggests, and acts on a suggestion only when you approve it. It sends an email only after you’ve reviewed it or asked it to. |
Does Mosaic store my email or calendar data in the cloud?
No. Mosaic is a desktop app: the material it works from lives on your own computer, and nothing from your content is retained on Mosaic’s servers. Short passages pass through our servers on their way to an AI provider whenever Mosaic writes something for you, and are not kept. That is a different default from many popular AI assistants, which run as cloud services and typically hold a standing copy of your working data on the vendor’s infrastructure.
Does Mosaic use your data to train AI models?
No. We do not sell your content, and the AI providers we use do not train their models on any customer data passed to them. That applies to everything Mosaic works with from your connected apps, and it is not a toggle buried in settings that you have to find and switch off.
Who controls which apps Mosaic can access?
You do. Mosaic connects only to the apps you choose — it works with the tools you already use, connecting to Google Workspace (Gmail, Calendar, and Drive), Microsoft 365 (Outlook, Calendar, and OneDrive), and Apple Calendar, with more connectors on the way — and you can also share specific files and folders from your computer. An app you have not connected is an app Mosaic cannot see, and you can disconnect any tool at any time. Actions follow the same rule: Mosaic suggests, and acts on a suggestion only when you approve it.
How does this compare to cloud-based AI assistants?
Almost every capable AI assistant, Mosaic included, calls a cloud model to generate an answer — so a claim that nothing ever leaves your machine, from any product with this capability, is worth reading twice. The difference is what the vendor holds when you are not using it. A cloud assistant typically takes in your mail and files and keeps a copy on its own infrastructure, so the whole of it sits there continuously, whether or not you are working. Mosaic runs the other way round: the material it works from — including what it brings down from Gmail, Outlook or Drive when you connect them — sits on your own computer, nothing from it is retained on our servers, and what reaches an AI provider is what the task needs, usually a few relevant passages, held only temporarily as needed to provide the service. When you compare tools, put each vendor’s answers to the five criteria above side by side — the ones that decline to answer the processing row are usually the interesting ones.
What does Mosaic actually manage?
Mosaic is your proactive desktop assistant. It brings together your email, calendar, documents, and tasks to prepare your next step before you have to ask — transparently, and always under your control. It connects to Google Workspace (Gmail, Calendar, and Drive), Microsoft 365 (Outlook, Calendar, and OneDrive), and Apple Calendar, and works with Word, Excel, PowerPoint, Docs, Sheets, Slides, PDF, TXT, JPG, and PNG files, with more on the way. It gathers what is scattered across your apps and hands you the next step, and nothing it suggests is acted on until you approve it.
Frequently asked questions
Does anything leave my device while Mosaic is working?
Yes, and here is exactly what. Your email, calendar, documents and tasks — and everything Mosaic works out about them — stay on your own computer. Writing an answer or preparing a suggestion needs a cloud AI model, so at that point Mosaic picks out what that one task needs and sends only that, by way of our servers, to the AI provider that writes it. That happens both when you ask Mosaic something and when Mosaic is getting your next step ready on its own. In either case what is sent is the content the task needs, usually a few relevant passages or the specific email or file involved, not your mailbox and not your file library. Nothing from your content is retained on Mosaic’s servers, and our AI providers hold it only for as long as the task takes and do not train on it.
Does Mosaic keep my data on my own computer?
Yes. Mosaic keeps your material, and everything it works out about it, on your own computer, and nothing from your content is retained on Mosaic’s servers. It is a desktop app, not a cloud service holding a continuously updated copy of your working life on someone else’s infrastructure.
Does Mosaic use my data to train AI models?
No. We do not sell your content, and the AI providers we use do not train their models on any customer data passed to them. It is not a setting you have to find and switch off.
Which apps can Mosaic access?
The apps you choose to connect, and the specific files and folders on your computer that you choose to share. Mosaic connects to Google Workspace (Gmail, Calendar, and Drive), Microsoft 365 (Outlook, Calendar, and OneDrive), and Apple Calendar, with more connectors on the way, and you can disconnect any tool at any time.
Can Mosaic send email or change my calendar without asking?
Not on its own. Mosaic surfaces what deserves your attention and puts the next step in front of you, then waits. A suggestion runs only when you approve it, and Mosaic sends an email only after you’ve reviewed it or asked it to.
Does Mosaic need my approval before it connects to an app?
Yes. Every connection is one you make yourself: Mosaic works with the apps you choose to connect, and with the files and folders on your computer that you choose to share. Once connected, each suggestion still waits for your approval, and you can disconnect any tool at any time.
